Refund & Returns Policy

Document Ref: AKSH/REFUND/2026

Effective Date: 29 September 2026

Last Updated: 29 September 2026

This Refund & Cancellation Policy explains how Akshatam Foundation (“Akshatam Foundation”, “we”, “us”, or “our”) handles refunds, cancellations, payment errors and related requests for donations, paid courses, products, registrations and other transactions made through our website.

Website: https://akshatamfoundation.org/

Akshatam Foundation is primarily a charitable and social welfare organisation. Most donations made through the website are voluntary charitable contributions and are not purchases of goods or services.

1. Scope of This Policy

This policy applies, where applicable, to:

- Online donations

- Recurring donations

- CSR-related payments

- Paid courses and training programs

- Event registrations

- Products or physical items offered through the website

- Other paid services or registrations

- Duplicate or erroneous transactions

- Payment-related disputes

Different rules may apply depending on the nature of the transaction.

2. Charitable Donations

Donations made to Akshatam Foundation are generally voluntary charitable contributions.

Once a donation has been successfully processed, the donor should consider the donation final.

However, Akshatam Foundation may consider a refund request in appropriate circumstances, including:

- Duplicate payment

- Accidental payment

- Payment made due to a technical error

- Unauthorised transaction

- Incorrect amount charged due to a system/payment error

- Payment successfully debited but the donation was not recorded due to a technical failure

- Any situation where a refund is required under applicable law

All refund requests are subject to verification.

3. No Automatic Refund for Change of Mind

A donor generally cannot cancel or demand a refund merely because they subsequently change their mind about making a charitable contribution.

Where funds have already been allocated or utilised for a charitable purpose, reversal may not be possible.

However, genuine payment errors, duplicate transactions, unauthorised transactions and other exceptional cases may be reviewed individually.

4. Campaign-Specific Donations

Where a donation is made to a particular campaign or cause, the donor may request cancellation only where the transaction has not already been allocated or utilised and where a refund is otherwise appropriate.

If a campaign has already received or used the funds for its charitable purpose, a refund may not be possible.

If a campaign is completed, cancelled or unable to proceed, Akshatam Foundation may, where appropriate and consistent with its charitable objects and applicable law, use the funds for a similar charitable purpose.

5. Recurring Donations

If recurring or periodic donations are available, a donor may request cancellation of future recurring donations.

Cancellation of a recurring donation will generally apply to future payments and will not automatically reverse donations that have already been successfully processed.

A donor should contact the Foundation as soon as possible if they wish to stop future recurring payments.

6. Payment Gateway Transactions

Online donations may be processed through third-party payment service providers.

The Foundation's website currently identifies Razorpay as its online payment gateway and also provides bank-transfer and UPI donation options.

A transaction may occasionally show as:

- Payment successful but donation not recorded

- Payment deducted but transaction status is pending

- Payment failed but amount temporarily debited

- Duplicate payment

- Payment reversed by the bank/payment provider

Such transactions may require verification with the payment provider or bank before a refund is processed.

7. Failed or Pending Payments

If money has been debited from your bank account but the donation/payment is shown as failed or pending, please do not immediately make another payment.

Contact Akshatam Foundation with the transaction details.

We may verify the transaction with the relevant payment gateway or bank.

If the amount was not successfully received by the Foundation and is not automatically reversed by the payment provider, the matter will be reviewed for appropriate resolution.

8. Duplicate Payments

If you accidentally make the same payment more than once, please contact us as soon as possible.

After verification, the duplicate amount may be refunded to the original payment method, subject to applicable payment-provider procedures.

9. Unauthorised Transactions

If you believe a payment was made without your authorisation, please contact Akshatam Foundation and your bank/payment provider immediately.

We may request:

- Transaction ID

- Date and time of payment

- Amount

- Donor name

- Registered email address

- Mobile number

- Bank/payment reference

- Other information reasonably required to investigate the transaction

Unauthorised transactions may also need to be reported to the relevant bank or payment provider.

10. Refunds for Paid Courses and Training Programs

Akshatam Foundation may offer paid courses or training programs, including programs listed on the website.

For paid courses:

- Cancellation requests should normally be submitted before the course/program begins.

- Once course access, training, materials or services have been provided, a refund may not be available.

- If a course is cancelled by Akshatam Foundation before commencement, the Foundation may provide a refund or alternative arrangement as appropriate.

- If a participant fails to attend after registration, the fee may be non-refundable unless otherwise stated for that particular course.

- Course-specific refund conditions may be communicated at the time of registration.

11. Event Registration Fees

Where an event requires a registration fee:

- Cancellation and refund conditions may be specified on the event registration page.

- If the Foundation cancels an event, an appropriate refund or alternative arrangement may be offered where applicable.

- If a participant does not attend an event, the registration fee may be non-refundable unless otherwise stated.

12. Products and Physical Goods

If Akshatam Foundation offers physical products for purchase, refunds or replacements may be considered for:

- Wrong product supplied

- Damaged product received

- Defective product

- Missing product

- Duplicate order

- Incorrect payment

- Other valid circumstances specified on the applicable product page

The request should normally be made within the period specified for that product.

Photographs, videos, order details or other evidence may be requested.

13. Physical Donations

Physical charitable donations such as food, clothing, medical supplies, equipment, ration kits and other goods are generally not treated as commercial purchases.

Therefore, physical charitable donations cannot normally be returned or exchanged after they have been accepted and distributed for charitable purposes.

The Foundation may refuse or return a physical donation where the item is:

- Unsafe

- Expired

- Damaged

- Unsuitable

- Unusable

- Prohibited by applicable law

- Not reasonably useful for the Foundation's charitable activities

The Foundation's FAQ specifically states that it accepts various physical items and asks donors to contact the Foundation to arrange delivery.

14. CSR Contributions

CSR contributions and institutional funding are subject to the relevant agreement, proposal, approval, documentation and applicable legal requirements.

Refunds or cancellation of CSR contributions will be handled according to the applicable agreement and applicable law.

A CSR contribution should not be treated as an ordinary consumer purchase.

15. Scholarship and Application Fees

Where an application, examination or program involves a fee:

- The applicable registration page may specify whether the fee is refundable.

- Submission of an application does not guarantee selection.

- If the Foundation cancels a paid examination or program, an appropriate refund or alternative arrangement may be provided where applicable.

- Fees may be non-refundable once processing or services have commenced, unless otherwise stated.

16. Refund Request Period

For payment errors, duplicate transactions and other refund requests, we recommend that the request be submitted within 7 days from the transaction date.

Requests submitted after this period may still be considered where appropriate, particularly in cases involving unauthorised transactions, technical errors or legal requirements.

17. How to Request a Refund

Please provide:

- Full name

- Email address

- Mobile number

- Transaction/order ID

- Payment date

- Amount paid

- Payment method

- Reason for the refund/cancellation request

- Supporting documents, screenshots or payment proof, if available

Providing the transaction ID will help us process the request more efficiently.

- Payment records

- Bank/payment-gateway records

- Donation records

- Course or event registration

- Order information

- Identity of the requester

- Whether the funds have already been utilised or allocated

Additional information may be requested where reasonably necessary.

19. Refund Method

Where a refund is approved, it will generally be processed to the original payment method used for the transaction.

Depending on the payment provider and bank, the amount may take additional business days to appear in the customer's account.

The actual credit time may depend on the bank, card issuer, UPI provider or payment gateway.

20. Refund Processing Time

After approval, Akshatam Foundation will initiate the refund within a reasonable processing period.

The time taken for the refunded amount to reach the customer's account may vary depending on the payment provider or bank.

Akshatam Foundation does not control the final settlement time of third-party banks or payment processors.

21. Taxes and Donation Receipts

Where a donation has already been recorded and a donation receipt or applicable tax documentation has been issued, the Foundation may need to make appropriate adjustments to its records if a refund is approved.

Donors should retain relevant refund and transaction documentation for their records.

22. Chargebacks

If you believe a transaction was incorrectly processed, please contact Akshatam Foundation before initiating a chargeback whenever possible.

This allows us to investigate and resolve genuine payment issues.

The Foundation reserves the right to provide transaction records to the relevant payment provider, bank or financial institution in response to a legitimate chargeback investigation.

23. Fraudulent Transactions

Akshatam Foundation reserves the right to investigate transactions suspected to involve:

- Fraud

- Money laundering

- Unauthorised payment

- Identity misuse

- Payment manipulation

- False information

- Other unlawful activity

Where necessary, transactions may be reported to the relevant payment provider, bank or competent authority.

24. No Refund for Charitable Services Already Provided

Where a contribution has already been used to provide charitable assistance, such as:

- Food distribution

- Medical assistance

- Education support

- Animal welfare

- Disaster relief

- Hospital support

- Community development

- Other charitable activities

a refund may not be possible because the contribution may already have been utilised for its intended charitable purpose.

25. Campaign Cancellation or Change

Akshatam Foundation may modify, suspend or close a campaign because of:

- Completion of the fundraising objective

- Change in beneficiary requirements

- Emergency circumstances

- Regulatory requirements

- Operational reasons

- Inability to continue the project

- Other circumstances beyond reasonable control

Where a campaign cannot proceed, funds may, where legally and organisationally appropriate, be used for a similar charitable purpose consistent with the Foundation's objects.

29. Final Note

Akshatam Foundation is a charitable organisation. Donations are made voluntarily to support the Foundation's charitable objectives and are not ordinary purchases of goods or services.

Refunds are therefore handled differently from ordinary commercial transactions and are considered according to the nature of the transaction, whether funds have been utilised, payment records, applicable law and the circumstances of the request.
